    What is INTelliJence OS?

    A custom-built Business Operating System: one platform covering intake, dispatch, CRM, invoicing, client portals, and reporting, built around how your business actually runs instead of forcing you into someone else's template.

    How is this different from off-the-shelf software?

    Off-the-shelf tools make you adapt your workflow to their features. We study your actual process first, then build the system around it. You own the structure, not a generic dashboard everyone else has too.

    Who owns the system and the data?

    Your data is always yours, full stop. It lives on your own database, not a shared multi-tenant platform. If you ever leave, it leaves with you in a clean export, and it's never shared with any other customer.

    The system itself (the software, code, and architecture we build) is licensed to you for use, not sold outright. That's what your monthly fee covers. If you want to take ownership of the actual codebase, to self-host or hand it to another developer, that's a separate buyout conversation, not something included in the standard plan.

    Is this just another CRM?

    No. A CRM manages customer relationships. INTelliJence OS is designed to manage the broader operation. Depending on your tier, that includes customer management, scheduling, dispatch, work orders, technician workflows, portals, reporting, automations, and integrations. The goal isn't just organizing contacts, it's giving you operational visibility across the whole business.

    Can INTelliJence OS replace my current software?

    Yes, in many cases. It's built to replace disconnected tools (separate CRM, scheduling, dispatch, work orders, customer portal, reporting) with one platform. But not everything needs replacing: if you already use accounting software that works for you, we can integrate with it instead of forcing you to start over.

    Do I need to change how my business operates to use it?

    No. During setup we look at how your team actually handles customers, jobs, scheduling, communication, and reporting, and build around that. The goal is to improve your process, not force your business into a template.

    What types of businesses is this built for?

    Service-based businesses that manage customers, jobs, employees, technicians, assets, or recurring work: HVAC, plumbing, electrical, cleaning, maintenance, equipment repair, fleet operations, and other field service businesses. If your business has repeatable workflows and operational bottlenecks, it's likely a fit.

    Do I need technical knowledge to use it?

    No. You don't need to know anything about databases, development, or automation. We handle the technical side. Your role is explaining how your business runs and approving the design.

    How do you know what to build for my business?

    After you pick a tier, you fill out an intake form describing your workflows, team structure, and operational needs. We use that to map the screens and processes before development starts, and you review the design before the full build moves forward.

    Is this secure?

    Yes. Your system is built with security practices appropriate for business applications: controlled access, user permissions, and secure database hosting. Your data isn't shared with other customers.

    Can my employees access different parts of the system?

    Yes. Roles and permissions are configured for your organization. For example, technicians see assigned jobs, office staff manage scheduling, managers access reporting, and customers access their own portal.

    What are the tiers?

    Lite: $500 setup, from $149/mo. Custom dashboard, CRM, hosting, database, maintenance, support. Best if you're replacing spreadsheets or generic software.

    Pro: $1,500 setup, from $249/mo. Everything in Lite plus customer portal, employee portal, AI features, reporting, automations, and integrations.

    Enterprise: $3,000 setup, $499+/mo. Fully custom scope, priced to the build.

    How fast is this?

    Pick a tier, fill out a short discovery form, and within 48 hours you'll see the screens and workflow mapped out for your review. Once you approve, the full system, including edge case testing and backend integration, is built in 7 to 14 business days.

    Can I migrate my existing data, like spreadsheets, CSVs, or old software exports?

    Yes. If you can export it (CSV, Excel, or a report pull from your current system), we'll map it into your new database as part of setup. Typical process:

    • You send the export (CSV/XLSX) for each data type (customers, jobs, invoices, etc.)
    • We map your existing columns to the new system's structure and flag anything messy or duplicated
    • We load it into a staging environment first so you can review before it touches your live system
    • Once you sign off, it goes live with your new OS

    Bigger or messier migrations (multiple old tools, no clean export, manual paper records) are scoped as part of Pro/Enterprise rather than a quick add-on, since it takes more mapping work. But it's still something we handle, not something you're left to do yourself.

    What if my data isn't in a CSV? It's in some other software.

    Most platforms allow at least a CSV or Excel export somewhere in their settings, even if the software itself doesn't offer a direct integration. If yours doesn't, tell us the tool and we'll figure out the best extraction path during discovery. Worst case, we do a manual re-entry pass on the highest-value records (active customers, open jobs) rather than the full history.

    What happens if I need a feature that isn't included?

    That's one of the advantages of a custom Business OS. As your business changes, additional functionality can be added as a scoped enhancement rather than you needing to switch platforms.

    What happens after launch? Is there ongoing support?

    Yes, maintenance and support are included in every tier's monthly fee. Bugs, small adjustments, and hosting are covered; larger feature additions are scoped separately.

    What's your refund policy?

    The setup fee is refundable if you cancel before approving your 48-hour mockup, since no build work has started yet at that point. Once you approve and the build begins, the setup fee becomes non-refundable, since it's paying for the development work already underway. Monthly fees are cancel-anytime-going-forward, with no refunds for partial months.

    What if I want to cancel?

    You can cancel the monthly plan at any time. You'll get a full export of your data: customers, jobs, invoices, everything. Access to the live system itself ends with the plan, since the software is licensed rather than owned. If you want to keep running the actual system independently, that's the buyout conversation above.
